A lot of internal processes have been simplified since Bølgen Kulturhus started using Yesplan

We had a chat with Christian Lorentzen, Event Manager at Bølgen Kulturhus in Norway. They manage around 280 productions. “Yesplan meets our needs in so many ways in regards to the information and how you can extract it from the system.”

Together with a few other organisations in Norway, Bolgen Kulturhus was looking for a new venue management system. One of our Customer Success Managers came by for a presentation and all the organisations ended up signing the contract. “We were sold quite easily”, says Christian, “It just meets our needs in so many ways.” 

Eager for what is to come

Although they are still at the beginning of the process of expanding the integrations, Christian is really looking forward to slowly getting started. “We’re in the process of integrating and starting to use TIX as our ticketing system, which I hope will be soon. I’m looking forward to getting all the information of TIX such as the amount of tickets sold, so I can use the good reporting tools we have in Yesplan to sort it out. It will be a good tool to analyse and be better at our programming. 

“In general, Yesplan has just simplified a lot of our internal processes. Some processes now take like two seconds instead of the five minutes with our previous system."

Each department has their own favorite feature

Bølgen Kulturhus is in the process of implementing the last features. “Firstly we started using the calendar and the standard fields. After a while we started to create more custom fields, when we knew what the system could do and how that could serve our individual needs”, says Christian. Now that they’ve been using Yesplan frequently, they know exactly what it is that they like about Yesplan. These are Christians favorite features:

    • The reporting tool:
      “That’s been really valuable with our production sheets. For the people that are working on the event, it is now easier to see at a glance what their tasks are today. It now works more like a check-list for our producers: which information do they need to fill in.” 
    • The overviews of data on the booked resources:
      Yesplan tracks and reports on all resource usage. That has been really helping our restaurant when it comes to planning and ordering all the food. It also minimized the need for verbal communication between departments.” 
    • Teamplanner:
      “That is the one our technical department uses the most. They find it really easy to just drag people onto events, by that way they are booked and scheduled. It’s also easy to add and repeat days off for example, to have a clear overview of the availability of your staff.” 
    • Calendar:
      “That’s what I’ve been using the most, the main calendar. I like how you can easily filter what you want to see, how you can repeat or move events by just a few clicks.”

“Your support is really a strenght”

Bølgen Kulturhus was not used to the amount of support they can rely on when they switched to Yesplan. “I think it's really a strength that you have the support function you have. You also strive to keep on improving your system and adapting it to the changes in technology!” 

I would really recommend venues to have a look at Yesplan if they’re in need of a flexible system with a lot of possibilities and when they want more automation to save time, of course.”
