How planning ahead can make your socially-distanced event a success

Not being able to use the full capacity of your venue is a pity. Despite that, it is a ray of hope to still be able to organise events with the necessary social distance. How do you make sure your events are still a fun and successful experience? We list our five best tips in this blogpost!

1. Set the rules 

Draw a line and set very clear rules and boundaries for both staff and audience. You should have a plan of action for different situations and be prepared for people not abiding by the rules. For example, what if someone didn’t bring a mask or what will you do if one of your staff members contracted COVID?   


2. Good communication

Make sure everybody knows what they can expect from the event. How many people will be there? do they need a mask? a hand sanitizer? how will the entry process go? how many seats will you have to leave in between? Just make sure people are aware of all this information before they arrive. This way, there is no confusion or disappointment! 


3. Remember that rules don’t make this a less enjoyable experience

The options to still have a good time are countless. Just get your audience so excited that they count for two. How great would it be to only have half of the amount of visitors you have normally, but they do feel like a full crowd! Make your guests enthusiastic! 

4. Organise relaxed performances 

According to the Indigo Culture Restart Toolkit, 25% of respondents identify themselves as vulnerable to COVID and are therefore more hesitant to attend cultural events. This could mean a potential significant loss of revenues. So it can definitely be interesting to organise relaxed performances on quieter days and with longer intervals. You can also consider putting a ‘quiet-time’ indicator on your website, a time in which you expect less visitors. This way, people who otherwise would not come to your venue, have a solution now. 


5. Have a step-by-step plan ready and be agile

Prepare a step-by-step reopening. Reopen in stages and start with a minimum of seats. As everyone gets more comfortable, you can move on to the next step. At the same time, be open to adjusting your plans quickly. Listen to your guests, to their experience and be ready to amend plans if necessary. The visitors are the best source for valuable feedback for your social distanced event!
